Overview
Dad's Fleet ("we", "our", or "us") is a family vehicle management application used to track vehicles, maintenance history, insurance documents, registration records, and reminders for a shared team.
This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
Information We Collect
We collect only the information necessary to operate the app:
- Account information — your name, email address, and profile picture when you sign in with Google, Apple, or register with an email and password.
- Vehicle data — vehicle details, maintenance records, mileage readings, reminders, and associated documents or photos that you enter into the app.
- Uploaded files — documents (PDF, images) uploaded for insurance, registration, inspection stickers, and maintenance records, stored in Firebase Storage.
- AI-processed data — when you use the AI document scanning feature, images are sent to Google's Gemini AI service for text extraction. Extracted data is stored in your fleet's Firestore database. Images are not retained by the AI service after processing.
- Chat history — conversations with the AI Fleet Assistant are stored in Firestore to allow you to resume past conversations.
- Usage data — basic Firebase Analytics data (session counts, screen views) used to understand how the app is used. No personally identifiable information is included.
How We Use Your Information
- To authenticate you and provide access to your team's fleet data.
- To store and display vehicle records and documents you upload.
- To process images through AI for automatic data extraction (insurance cards, inspection stickers, oil change stickers, odometer readings).
- To send push notifications for document expiration reminders and maintenance due dates.
- To send invite notifications when a team admin adds a new member.
- To improve app functionality based on aggregated usage patterns.
We do not sell, rent, or share your personal information with third parties for marketing purposes.
Third-Party Services
Dad's Fleet uses the following third-party services, each governed by their own privacy policies:
- Firebase (Google LLC) — authentication, database (Firestore), file storage, push notifications, and hosting. Firebase Privacy Policy

Data Retention
Your data is retained for as long as your account is active or as needed to operate the app:
- Vehicle records, documents, and maintenance history: retained for account lifetime.
- Chat sessions: retained for 1 year.
- AI extraction jobs: retained for 90 days.
- Audit logs: retained for 2 years (required for security compliance).
You can permanently delete your account at any time directly from inside the app — open the menu, tap Account, then Delete account. Your profile, chat history, and credentials are removed immediately; if you are the only member of your fleet, your vehicles, maintenance history, documents, mileage readings, and reminders are deleted as well. Encrypted backups may retain copies for up to 30 days, after which all traces are permanently removed. See our account deletion page for full details and an alternate path if you cannot open the app.
Security
All data is stored in Google Firebase, which provides industry-standard encryption at rest (AES-256) and in transit (TLS 1.2+). Access to fleet data is restricted by Firebase Security Rules — users can only access records belonging to their assigned project. All sensitive operations are logged in an audit trail for security monitoring.
Children's Privacy
Dad's Fleet is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
Your Rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your data ("right to be forgotten").
- Request a copy of your data in a portable format.
